SCA Executive Minutes - October 14, 2010

1. President’s Remarks

Board Member Update

Bill Armitage welcomed Paul Bourque as the new president for the 2010-2011 year.  Two new directors have joined the Board Chris Clarke as Director at Large, and Ryan O’Neill as Director of Safety & Security.

Daniel Barnabe has stepped down as Director of Transportation and Development.  The portfolio will be managed by Paul Bourque in the interim.

Other past Board members who have stepped down are Anna Yates, Garnet Strong, and Karen Scott.

AGM Date

The AGM was previously cancelled due to scheduling conflict.  A new date is to be confirmed for the week of Nov 9th. 

Action Item: LH to confirm availability of the Clubhouse and WB to post new date on website and inform residents of AGM.

2. Portfolio Updates

A. Parks and Recreation
1) Soccer Program:  The kid’s summer soccer program was very successful.  Next year we need to clarify that this is not a drop-off program, parent involvement is required.  Also need to re-evaluate the fee structure so that this is for residents only, as we had non-residents coming to the program and our volunteer resources were stretched thin.

2) Rink Grant:  We have applied for the grant again this year.  Volunteers are needed again for maintenance.  We would like to have the rink supervised this year. 

3) Levesque Park:  There have been issues with litter and vandalism over the summer.  Police reports have been filed.  The city is looking into repainting the gazebo next year.  The location of the bunker also needs to be addressed.

4) Golflinks Totlot:  The speeding issue along Golflinks is to be addressed by installing metal bars at the park entrance.  Also a stop sign is to be added at Pondhollow with painted lines for pedestrian crossing.

5) Kilbirnie Park:  Splash pad fix has started to fix the flooding issue.  Stimulus funding has been approved at the municipal level, awaiting provincial and federal approvals.  This will be used to fix the flooding issued in the soccer field, for $10k of landscaping, and for the new gazebo with the concrete pad.  If stimulus is approved, we will use the funds previously raised for the gazebo towards some furnishings (i.e. park benches, picnic tables, etc) and possibly an electrical outlet.

B. Environment and Safety: 

1) Fall Cleanup Day:  Was not deemed necessary based on current conditions in the community. 

2) Weir in Jock River:  The weir is to be removed at some point, which will help with erosion on the bank and also drowning risks. 

3) Stonebridge Trail:  There are some issues along the path with broken branches hanging, teens lighting fires, and tags on trees. 

Action Item: MM to follow up with the city and Steve Desroches.

4) Mailbox and light post advertising:  Needs to be cleaned up.  Also large billboards on front lawns advertising snow removal need to be removed.

Action Item: MM to follow up with the city and/or Canada Post regarding mailbox cleanup. 

C. Events and Activities
1) Ladies Night: The event was very well received by the community.  There were 21 exhibitors, and over 250 attendees.  Some of the community members and local business have requested that this be a biannual event. 

2) Adult Christmas Party:  This is a free event open to the all residents, to be held on Dec 2nd at the Clubhouse.  The estimated cost will be approximately $1,000.

3) Kid’s Christmas Party:  To be held on Dec 4th at the Manotick Arena for a fee of $5 per child.  This year the parents will not bring a wrapped gift for their child, as in the past.  Instead the SCA will collect cash donations for the Shepherds of Good Hope.  The kids will get a loot bag from Santa, there will be food provided and crafts.  The approximate cost for the event will be $300.

4) Other Upcoming Events for 2011:  Winter Carnival, approximate cost $650 to $1,000.  Easter Egg Hunt, and Fun Day (approx $2,500).  Also a Halloween Movie Madness event at the Cineplex, which is put on by Jan Harder’s office and the SCA will be one of the sponsors.

D. Budget for 2011

Tracy to compile the budget for the 2011 year, based on input from each of the portfolio directors.
